Diary An online diary, running live even as your colleagues amend or cancel viewings. Columns clearly showing all activity at the same time – to avoid you all being booked out of the office at the same time
   
Tasks Created in individual profiles but showing up on one clear main menu list when due. Simply carry out the task and complete it. If the job is only half done leave it uncompleted to avoid it getting forgotten. E.g. leave a message for a tenant to return their signed inventory. Leave task uncompleted until the inventory has been returned. This saves it getting forgotten
   
Lists · Negotiator Lettings List showing everything the negotiator needs to know to book a viewing there and then. Access arrangements / Key Codes / Availability dates / Important info for this property e.g. landlord doesn’t want students.· Desktop viewing list. More of a Joe Public list and without the negotiator banter, this list is great to spin your screen round and show the potential tenant all the photos you have for the property. Saving time on unnecessary viewings if its not suitable.· Advertising Lists. Full list with big description or just a text list with one line description. Select the properties to include in the advertising this week and email this off to your local paper / magazine· Email List. With the general enquiry still on the phone just type their email address in here and off it goes to them. Or just re-direct them to your own website that courtesy of i2let will automatically show your current letting list anyway.
   
Maintenance A very strong feature of this system providing a clear list of all current maintenance issues. Just click into the issue title to see; · Original Problem reported.· Contractor assigned to. · Running commentary notes from your colleagues. · All relevant contact details for Landlord, tenants and contractor· All in one placeYou don’t need to come away from the issue and go and click into an actual tenancy.The idea is that you can know nothing about the issue as you have been out on viewings all morning, return to the office, take a phone call and be able to update the tenant who is calling half an hour after reporting the issue ! A landlord who just received their message about the reported issue or the contractor who is calling to say they will grab keys in 10 minutes as they are close by.
   
Contractors Listed in order alphabetically of Company Type from Arial specialists to Corgi Plumbers to Drainage Companies to General Builders to ..... making it easy to find phone numbers or other info. This list can be endless so you can have all your contractors’ details in one place. You can even record a record of their public liability insurance and when it expires.
   
Utilities List all the providers here for Council Tax, Water, Electricity and Gas. Once in this list then they can be allocated to a property
   
Address Book For all your office needs ! List all your suppliers here. Stationary providers, Business card providers, Key fob suppliers, Headed paper suppliers etc. It means anyone can access the info and order things when needed (with permission of the office manager of course) instead of the shout across the office ‘I’ve run out of business cards! ‘ Now they can pick up the phone and order them.
   
Keybook Finally – an electronic key-book. Easy to log in and out, this will keep an accurate record of whoever borrowed the keys. Easy drop down menus allow selection of landlord / tenant / contractor – automatically filling in their name / number and exact time the keys are given out. Simple to log back in. Enter key code and click on Log In.
   
Board Movement At Last a list of current board status. When a property is advertised it will automatically be added to this list with an instruction for a ‘To Let’ board to be put up. When it is removed from the adverting then a ‘Let By’ board will be instructed. This list will accumulate all the changes during the day and send one clear email to the Board Contractor with jobs generated that day.
   
Communication One email to all landlords / tenants or contractors. EG change in opening times. Change in legislation.
   
Letters The system is supplied with a bank of very useful letters already made for you to see you through an entire tenancy from Tenancy Application confirmation letters / Tenancy Agreements / Management Inspection Letters to Landlords / Tenancy Extension Letters / Check Out letters.Easy to create Mail Merge letters. Just select the relevant fields from the list. Fill in the body of textt for the letter. Save it. Now access it from the landlord / property or tenancy profile. Select that letter and all the relevant information will be filled in for you. Names / Start Dates / Rent amount / Forwarding Addresses.
   
Archived Section Store all your old tenancies and properties here for easy access if needed in the future. E.g. meter readings for an old tenancy. Or an Archived property may come back on the market. Simply restore it and start marketing.
